Privacy policy

This policy explains what Crew of One collects when you use the website at getcrewofone.com and the app at app.getcrewofone.com, why, who else handles it, how long it is kept, and what you can ask us to do with it. We have tried to write it in plain words.
Who is responsible
Crew of One is operated by Mendoza Digital, based in the Netherlands, which is the controller of your personal data under the EU General Data Protection Regulation (GDPR). For anything about your data, write to [email protected].
What we collect
Your account
The email address you sign in with. Sign-in is handled by Cloudflare, which emails you a one-time code; we do not store a password.
Your channel's numbers
If you connect your YouTube channel, or upload an export from YouTube Studio, we store your channel's own analytics: your videos' titles, publish dates and lengths, and figures such as views, watch time, impressions, click-through rate, subscribers gained and traffic sources. The section on YouTube below says exactly what we access.
What you put in
The answers you give during setup, the records, documents, tasks and files you add, and your conversations with the assistant.
Technical data
Cloudflare, which sits in front of the site and the app, processes your IP address and browser details to deliver pages and keep the service secure. The app records how long pages take to load, with no name or email attached, to keep it fast.
We do not use advertising cookies or trackers. The app uses only the cookies it needs to keep you signed in.
YouTube and Google data
Crew of One uses YouTube API Services. When you connect your channel, you sign in with Google and grant these permissions:
- View your YouTube account (youtube.readonly): to find your channel and read its list of videos and their public details.
- View YouTube Analytics reports for your YouTube content (yt-analytics.readonly): to read your channel's and your videos' analytics.
Both are read-only. Crew of One cannot upload, edit, delete, comment on or publish anything on your channel.
We use this data only to provide the features you see in the app: showing your numbers, judging each video against your own history, and reviewing titles and thumbnails against what has worked for you. We do not sell it, use it for advertising, or use it to build profiles of you for anyone else. We do not share it with other creators or combine it with other people's data. No person reads it, except with your permission to help you, when needed for security, or when the law requires it.
Crew of One's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
By connecting your channel you also agree to the YouTube Terms of Service. Google's handling of your data is described in the Google Privacy Policy.
You can disconnect at any time in the app, or by removing Crew of One from your Google account's third-party connections. When you disconnect, we delete the access Google gave us straight away, and the YouTube data we fetched through it within 7 days.
How we use it
- To run the service you signed up for: your numbers, your verdicts, your records and your conversations.
- To produce the assistant's answers. The parts of your data a question needs are sent to the AI model at that moment.
- To keep the service working and secure, and to fix problems.
- To contact you about your account or changes to the service. Newsletters only go to people who joined the waitlist, which is run separately by beehiiv.
The legal bases are the contract with you (running the service you asked for) and our legitimate interest in keeping it secure and working. Where the law requires consent, we ask for it.
Who processes it for us
- Hetzner Online, Germany: the server where the app and your data are stored.
- Cloudflare: sign-in, and the network between you and the server.
- Anthropic, United States: the AI model that writes the assistant's answers.
- Google: the source of your YouTube data, and storage for our nightly backups.
Where a provider is outside the European Economic Area, the transfer relies on the European Commission's standard contractual clauses or the EU-US Data Privacy Framework. If you connect other services yourself, such as Slack, the data you choose to send there is handled under that service's own policy.
How long we keep it
- Your account and what you put in: for as long as you use Crew of One. A deleted chat stays in the trash for 30 days, then goes for good.
- YouTube data: while your channel is connected, refreshed regularly; deleted within 7 days of disconnecting.
- Backups: kept for 14 days, then replaced.
- When you ask us to close your account, we delete your data within 30 days, apart from anything the law requires us to keep.
Your rights
You can ask us for a copy of your data, to correct it, to delete it, to restrict or object to how we use it, or to receive it in a portable format. Write to the address above and we will answer within one month. You can also complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens, or to the authority where you live.
Security
The app is only reachable after signing in, all traffic to and from it is encrypted, and each channel's data is kept in its own store, so one creator's data is never read through another's. No system is perfectly secure, and if something goes wrong that affects your data, we will tell you.
Children
Crew of One is not intended for anyone under 16.
Changes
If we change this policy in a way that matters, we will tell you in the app or by email before it takes effect. The date at the top shows the latest version.
